Cancellations, No-Shows, and Late Arrivals

Your appointment time is reserved just for you. A steady, predictable schedule supports your progress and makes sure other clients also have fair access to care. These policies are in place to protect that consistency for everyone.

Standard cancellation policy

Life happens, and plans change. When you need to adjust your appointment:

  • Cancellations or requests to reschedule must be received at least 24 hours in advance.
  • If you cancel or reschedule with less than 24 hours’ notice, you will be charged the full session fee for that appointment.

This policy does two things in your favor:

  • It keeps your appointment time protected and predictable, so it is not casually given away or double-booked.

  • It encourages a steady rhythm of sessions, which is important for emotional and therapeutic progress.

No-shows

When you are not able to attend:

  • If you do not come to a scheduled appointment and do not notify the office, it is considered a no-show.

  • No-shows are charged the full session fee.

This protects the time that has been set aside for your care and helps keep Darrell’s calendar stable, which in turn supports your long-term work together.

Late arrivals

Sometimes you run behind. When that happens:

  • If you arrive late, your session will still end at the scheduled time so that the next client can be seen on time.

  • You may lose some of your session time, but you will still be responsible for the full fee of the scheduled session.

Ending on time:

  • Respects your schedule and the schedules of clients who follow you.

  • Helps sessions stay grounded and focused, rather than rushed or pushed into someone else’s time.

Weather exceptions

Bad weather is a different kind of situation:

  • On days affected by severe weather or Enid Public Schools closures, late-cancellation and no-show fees may be waived in line with the office Weather and Closures Policy.

Your safety comes first. You are encouraged to use your best judgment about road conditions without feeling pressured to drive in unsafe weather just to avoid a fee.

Billing for missed-session fees

To keep expectations clear:

  • Missed-session and late-cancellation fees cannot be billed to insurance and cannot be included on a superbill. Insurance will not reimburse for them.

  • These fees are automatically charged to the card on file in your client portal, so you do not have to juggle extra invoices.

This keeps the financial side straightforward and predictable, which makes it easier to stay focused on your treatment instead of on billing details.

Returned checks

  • A $10.00 service charge is added for any returned checks that require special handling.

This helps cover administrative costs so that session fees can remain as clear and stable as possible.
